In the second email- first problem - could get one (not 'it)
'disadvantageously encouraged' - grammatically correct but sounds strange; 'robberies could happen'.

Hi Becky,

I have received a complaint letter from a resident about the new garbage collection system. I need your help! Can you give me some advice?

The first problem mentioned in the letter is that it is inconvenient for the residents to keep only one key for accessing to the new refuse room. If they lose the key, they have to keep the garbage at home until the office is opened for them to get a spare key. The second issue is that the easy accessibility from the garbage room to the back stairs of certain flats. It gives chances to thieves. The third concern is that we haven't consulted the residents' opinions before we introduce this new measure. This goes against the estate management regulations. The last problem is the rudeness and unhelpfulness of our staff in the office.

Please give me some advice on the above issue. Thanks so much!

Dear Mr Chan,

I have received a complaint letter from one of the residents, Ms Ma. I am writing to outline all the problems concerned as well as the suggestions.

1. No spare key provided

Some of the residents find that it is inconvenient to keep only one key. Once they have lost their key to the new refuse room, they have to keep their garbage at home until they get another one from office. This is because our office would be shut after office hour and therefore they could not get the spare key immediately. I recommend that two spare keys should be kept in the security guard's room of each building so that the residents could get it if needed.

2. Easy accessibility to the back stairs

Some residents are worried about the security problem as the garbage room is directly linked to the back stairs of some flats. In case they lost the key, robbery case would be disadvantageously encouraged. It may be related to the design of the buildings. I suggest that we can aid the residents to install a gate in between the back stairs and the garbage room.

3. No prior consultation with residents

It is pointed out that we have not consulted the residents before we introduced this new measure. It is because the old system created hygienic problems. It is of urgency for us to devise a solution. I advise that we may consult the residents in the residents' general meeting before any new policy is implemented.

4. Rudeness and unhelpfulness of staff

Our staff are complained to be rude and unhelpful in solving the above matters. It is because they are not familiar with the operation of the new system. I recommend that we can provide training to our staff to ensure that they understand the whole operation process. Therefore they are capable to answer the enquiries.

I would send a letter to apologize to Ms Ma. Could you please approve my suggestions? I look forward to hearing from you.
